Privacy Policy
Last updated:
This policy explains what information BikeShift Gurgaon receives when you use biketransportgurgaon.com or contact us about moving a bike or scooter, how we use it, who else may see it, and how you can ask us to review, correct or delete it.
1. Who we are and what this policy covers
BikeShift Gurgaon ("we", "us") is the public name used on biketransportgurgaon.com for handling bike and scooter transport enquiries from Gurgaon (Gurugram), Haryana. For anything about your information, contact us at:
- Phone: +91-78278-00757
- Email: [email protected]
This policy covers:
- information you give us through the website's quote forms, by phone, on WhatsApp or by email;
- information needed if you go ahead with a booking;
- basic technical information that reaches us or our service providers when you visit the website.
It does not cover websites, apps or services run by others, such as WhatsApp, your own email provider, or any carrier or cover provider. Their own terms and privacy policies apply when you use them.
The terms for quotes and bookings are in our Terms and Conditions. You can read more about us on our About page or reach us through the Contact page.
2. Information we receive
We ask only for what is needed at each stage. A quote needs a few basic details. A booking needs more, and only for that particular move.
| Type | Examples | When | Why, and whether it is needed |
|---|---|---|---|
| Enquiry details | Your name, phone number, pickup area, destination, preferred date, bike or scooter model, and any notes you add, such as access or parking details | When you fill in a quote form, call or message us | To understand the move and reply with a quote. Name, phone, areas and model are needed for a useful quote. Notes are optional. |
| Email address | Your email address | Only if you give it, for example when you email us | To reply by email and send quote or booking documents that way. Optional. |
| Photos and documents you send | Pictures of the vehicle or existing marks, or documents you choose to share | Only when you send them by WhatsApp or email | To assess the vehicle or answer your question. Please send only what is relevant. |
| Booking and handover details | Full pickup and delivery addresses, ownership and registration details, condition notes at handover, receipts and invoices | Only if you go ahead with a booking, and only what that arrangement needs | To arrange collection, carriage and delivery, record the vehicle's condition, and keep account records |
| Receiver details | Name and phone number of the person taking delivery | When someone other than you will receive the vehicle | To coordinate delivery. Share these only with that person's agreement. |
| Payment and complaint records | Payment confirmations, receipts you send, messages about a problem | When you pay, share a receipt or raise an issue | Accounts, refunds and resolving disputes |
| Technical request data | IP address, browser and device type, page requested, time of request | Automatically, when your browser loads our pages or the external resources they use | To deliver the website and keep it working. This is handled by our hosting and resource providers. |
Identity and vehicle documents
The website quote forms do not ask for identity documents, and you do not need to send a copy of your Aadhaar, driving licence, passport or RC to get a quote.
If you go ahead with a booking, the documents needed depend on the route and the arrangement, and we will tell you which ones before you confirm. Original documents stay with you. If a copy is requested, you can ask why it is needed and hide details that are not relevant to the move.
3. How we use it
We use your information to:
- reply to your enquiry and work out a quote;
- contact you about that move by phone, WhatsApp or email, including following up on the quote you asked for;
- coordinate an agreed booking, including pickup, handover and delivery, with you and the receiver;
- keep records of the booking, the vehicle's condition, payments and invoices;
- handle questions, complaints, claims and disputes;
- meet legal and accounting requirements that apply to us;
- keep the website working and deal with misuse, such as fake or abusive submissions.
Promotional contact
Sending an enquiry is not permission for unrelated promotional messages. If you do not want further follow-up or promotional contact from us, tell us by phone, by replying on WhatsApp, or by email, and we will stop. We may still need to contact you about an active booking, a payment, or a complaint you have raised.
5. Website, WhatsApp, phone and email
External resources on our pages
Our pages load fonts from Google Fonts (fonts.googleapis.com and fonts.gstatic.com) and icons from Font Awesome through cdnjs.cloudflare.com. When your browser fetches these files, it sends normal request information to those providers, such as your IP address, browser details and the page that asked for the file. Their own privacy policies apply to that information.
Cookies and browser storage
Our pages, and the external resources they load, may use cookies or similar browser storage for basic operation. You can block or delete cookies in your browser settings. If part of the site stops working as a result, you can still reach us by phone or email.
WhatsApp buttons on our site open WhatsApp, which is a separate service. Once you are there, WhatsApp's own terms and privacy policy apply to how it handles your messages and account. We see the messages, photos and documents you send us in that chat, and we use them as described in this policy.
Phone and email
When you call or email us, we receive your number or email address and whatever you tell us or attach. Your own phone and email providers handle that communication under their terms.
6. How long we keep it
We keep information only as long as it is needed:
- to answer your enquiry;
- to carry out and complete a booking;
- to keep accounts and handle any complaint, claim or dispute;
- to meet legal requirements that apply to us.
How long that is depends on what happened. An enquiry that did not lead to a booking usually needs less than a completed booking with invoices.
You can ask us to review, correct or delete your information at any time (see section 7). If some records must be kept, such as invoices or records linked to an open dispute, we will tell you what is kept and why. Copies in backups or email systems may take longer to clear and are not used for new purposes in the meantime.
7. Privacy requests and choices
How to make a request
Email [email protected] with the subject Privacy Request. In your email, include:
- what you would like us to do;
- the phone number or email address you used to contact us;
- if you have it, a rough date of your enquiry or booking, or a booking reference.
You can also call +91-78278-00757, though email gives both of us a clear record.
What you can ask for
- A summary of the information we hold about you and how it has been used or shared
- Correction or updating of details that are wrong or incomplete, such as a phone number or receiver details
- Deletion of information we no longer need
- An end to follow-up or promotional contact you do not want
- Withdrawal of agreement you gave for a particular use, where that use depends on your agreement
Checking it is you
To protect you, we may ask you to confirm details that match our records, such as the phone number you used or the route you asked about. We will not ask for a full identity document by default. If someone is making a request for you, we may ask how they are authorised to act for you.
When we cannot do everything asked
If a request affects a live booking, an unpaid amount, an open complaint or a record we must keep, we will explain what we can and cannot do and why.
Your rights under law
Indian law gives you rights over your personal data, including under the Information Technology Act, 2000 and its rules, and the Digital Personal Data Protection Act, 2023 together with the Digital Personal Data Protection Rules, 2025, which are coming into force in phases. Where the law gives you a right or remedy, nothing in this policy reduces it.
8. Keeping information safe
The website is served over HTTPS, which encrypts the connection between your browser and the site. We take care to limit who handles your details to those dealing with your request. Even so, no website, email or messaging service is completely secure.
You can help by:
- sending only the documents and photos that are needed;
- hiding numbers that are not relevant before you share a document;
- never sharing OTPs, passwords, card PINs or full card numbers with anyone, including a caller who says they are from us.
If you email or send us a payment receipt, we keep it with your booking records. If you think a message claiming to be from us is not genuine, call +91-78278-00757 to check.
9. Children and information about other people
Bookings should be arranged by the vehicle's adult owner or by an adult the owner has authorised. This website is not designed for children, and we do not knowingly collect information about children for any purpose beyond handling a move arranged by an adult. If you believe a child has sent us information, contact us and we will deal with it.
If you give us details about someone else, such as a receiver, the owner of the vehicle or a family member, please make sure they know and agree. We use those details only for the move they relate to.
10. Changes, complaints and contact
We may update this policy when our services, providers or legal requirements change. The date at the top shows when it was last revised. If a change significantly affects how we use information we already hold, we will take reasonable steps to make it clear.
11. Frequently asked questions
Do I need to send my Aadhaar or other ID to get a quote?
No. A quote needs only your name, phone number, pickup and destination areas, the vehicle model and a preferred date. If you go ahead with a booking, we will tell you which documents that arrangement needs before you confirm. Original documents stay with you.
I gave the wrong receiver name or number. How do I fix it?
Call +91-78278-00757 or email [email protected] from the number or address you used for the booking, and give the correct details. Please do this as early as possible so the delivery team has the right contact. Share a receiver's details only with their agreement.
Can I ask you to delete my enquiry?
Yes. Email [email protected] with the subject Privacy Request and the phone number or email you used. If no booking followed, we can delete the enquiry. If some records must be kept, such as invoices or details linked to an open complaint, we will tell you what is kept and why.
Is chatting on WhatsApp covered by this policy?
Partly. The WhatsApp button takes you to WhatsApp, a separate service with its own terms and privacy policy. This policy covers how we use the messages, photos and documents you send us there.
